What is telephone interpreting and how does it work?

You need clear communication, even when time and distance are against you.

Telephone interpreting is an efficient solution that quickly connects you with a professional interpreter so you can move forward without waiting.

At OnLine Translation, we make it easy to get the right language specialist on the phone – regardless of language, time or industry.

1. What is telephone interpreting?

Telephone interpreting is an interpreting service over the phone or internet where the interpreter is not physically present.

You speak in your own language, the interpreter listens in and renders the message in the other party’s language – and vice versa.

This is typically done as consecutive interpreting in short sequences where all parties have time to speak.

Eliminate travel time, planning and logistical challenges.

The aim is to remove language barriers when you can’t wait for an interpreter. This applies to both short messages and longer conversations where speed and flexibility are key.

2. How it works in practice

To book telephone interpreting, contact us with your language, time and purpose. We’ll match you with a qualified interpreter and confirm the start time.

The interpreter calls you and you can connect the other party via conference call or speaker.

The conversation takes place in short intervals where the interpreter ensures accurate reproduction and controls the pace.

After the call, settlement is agreed upon.

For urgent assignments, we can often find an interpreter within 5-10 minutes. The more accurately you describe your needs, the faster we can find the right interpreter.

3. Technology and sound quality

Telephone interpreting typically works via regular phone connection or mobile.

Use your phone’s conference feature, a fixed conference device or headset for the best possible sound.

Choose a quiet room and a stable network to ensure clear communication.

For systematic needs, a dedicated conferencing unit in the clinic or meeting room can boost quality.

4. Quality and confidentiality

You always get professional interpreters with proven language and subject expertise. All interpreters work under professional secrecy and sign confidentiality agreements.

The interpretation takes place in private with no unauthorized persons present, and all personal data is handled in accordance with GDPR.

No calls are recorded without written agreement.

We work with clear quality procedures, continuous evaluation and take complaints seriously to ensure high standards.

5. Benefits of telephone interpreting

Telephone interpreting gives you time, flexibility and discretion.

The solution is ideal when:

  • An employee must immediately receive instructions in another language
  • You are in an urgent clinical situation where medical translation is needed
  • A court hearing requires legal translation and interpreter here and now
  • A case manager must resolve a case without delay
  • It’s a long way to the nearest qualified interpreter

We can almost always activate an interpreter quickly – even outside normal business hours.

6. Language and capacity

You can order telephone interpreting in both common and uncommon languages.

We cover English, German, French and Spanish in business on a daily basis, while law, healthcare, technical, legal and medical translation often requires Arabic, Farsi, Bosnian, Somali, Polish, Turkish, Vietnamese and Urdu.

If you need a rare language, we can also find a solution through our extensive network.

If telephone is not suitable for the job, we also offer video interpretation.

7. Telephone interpreting versus in-person

Aspect Telephone interpreting In-person interpreting
Speed Interpreter can often join within minutes Requires planning and transportation
Geography Unlimited distance May depend on local interpreters
Price range Often cheaper overall Travel and waiting time can increase the price
Discretion High anonymity Visible presence
Communication quality Clear audio but no visual cues Best for complex topics
Infection and environment No physical contact In-person attendance required

8. price and availability of free interpretation

Prices follow the National Police tariffs and are usually charged per hour or part thereof. There may be surcharges for urgent orders or evenings/weekends. For long-term assignments and conference interpreting, we prepare individual offers.

Interpretation can be free if:

  • You have stayed in Denmark for less than three years and are registered in the National Register (the healthcare system provides an interpreter)
  • You participate in criminal proceedings, interrogations or asylum cases (authorities cover the costs)
  • The municipality assesses that an interpreter is necessary for interviews

If you are unsure who pays, we are happy to help clarify this.

9. How to get the most out of telephone interpreting

  • Choose a quiet room and appoint a moderator
  • Brief the interpreter on purpose, parties and context
  • Speak in short, clear sequences and take breaks
  • Avoid jargon and internal abbreviations
  • Verify important information with lettering
  • Use headset or conference device for clear audio
  • Finish with a summary of agreements and next steps

Your preparation and discipline are essential for a good result.
